Updating Athenaeum Express to 5.0v3

SumWare Consulting recently introduced Athenaeum Express 5.0v3 which corrected some defects (stock take broken and removing reserves also removing catalogue items).

The procedure below outlines how to bring your data from your existing version of Athenaeum Express 5 to the current version. This technique is similar to methods used upgrading other versions of Athenaeum.

Backup your existing copy of Athenaeum Express

Backing up should be part of your daily computer usage. Backups only take a few minutes and should be to removable media (not a second copy on the same computer). If your back procedure only takes a few seconds, then it is probably not correct. If you are not sure, then please chat to your computer administrator.

"Find All" in your existing copy of Atheaneum Express

Open your existing copy of Athenaeum with the special "editing" password and then enter your 'Options' password. Click the config button and then click the Utility button at the top right of the screen.

Click the "Find All" button on the Utility screen. This command only takes a second, so it may appear that nothing happens.

Quit your old version of Athenaeum Express

The old version of Athenaeum Express must not be running when you do your update.

Install the new version

Install your new version of Athenaeum Express in a new folder (not over your old folder)

You will find a new folder inside the Athenaeum Express folder called "Old". Copy the old Athenaeum Express files into this folder. The files you need to copy are Exp_BarCode.fms, Exp_Borrower.fms, Exp_Catalog.fms, Exp_CatArchive.fms, Exp_CircArchive.fms, Exp_Circulation.fms, Exp_Reserve.fms, Express.fms. (Note that your computer might be configured not to display the three letter 'fms' extension.)

Start the new version

Start the new version by double clicking the Athenaeum Express icon and use the special 'editing' password.

Do not start Athenaeum Express with any shortcuts you may have made in the past (for example, a shortcut in your task bar) as this will probably start the old version of Athenaeum.

Enter your 'Options' password which will have been reset to fred7 (this is always the case with updates of Athenaeum.

You will know that you are using the new version because there are no catalogue items (there may be a blank record).

Go to the utility screen again (as described before) and click the Import All button.

Athenaeum Express should now copy all of your old data into the new version which should take a few minutes.

Re-enter your config settings

You will need to re-enter any settings as well as your registration details.

Also, you may wish to 'renumber' your catalogue and borrower databases to set the next numbers that will be allocated.
