Updating Athenaeum Pro to 6.0v4

The procedure below outlines how to bring your data from your earlier version of Athenaeum Pro to the current version. This technique is similar to methods used upgrading other versions of Athenaeum.

Backup your existing copy of Athenaeum Pro

Backing up should be part of your daily computer usage. Backups only take a few minutes and should be to removable media (not a second copy on the same computer). If your back procedure only takes a few seconds, then it is probably not correct. If you are not sure, then please chat to your computer administrator.

"Show All" in your existing copy of Atheaneum Pro

Open your existing copy of Athenaeum with the administration password and then enter your 'Options' password. Click the Admin button and then click the Utility tab at the top right of the screen.

Click the "Show All" button on the Utility screen. This command only takes a second, so it may appear that nothing happens.

Quit your old version of Athenaeum Pro

The old version of Athenaeum Pro must not be running when you do your update.

Install the new version

Install your new version of Athenaeum Pro in a new folder (not over your old folder)

Start the new version

Start the new version by double clicking the Athenaeum Pro icon and use the special 'editing' password.

Do not start Athenaeum Pro with any shortcuts you may have made in the past (for example, a shortcut in your task bar) as this will probably start the old version of Athenaeum.

Enter your 'Options' password which will have been reset to fred7 (this is always the case with updates of Athenaeum).

You will know that you are using the new version because it will be unregistered (look at the bottom of the main screen) and there are no catalogue items (there may be a blank record).

Go to the utility screen again (as described before) and click the Import from Old Athenaeum Pro button.

Athenaeum Pro will prompt you for each file to be imported. At each prompt, select the old file containing the requested data. A table of file names matching the requested data is below.

If you want to skip over a file (for example the photos or fines because you don't use these), then just click the Cancel button when prompted to select that file.

The order of the files to import are:

  • photo - any photos of borrowers you have stored
  • circulation archive - the history of issues
  • fines - any fines that borrowers have incurred
  • reserves - borrower reserves
  • review - borrower reviews of catalogue items
  • supplier - the list of suppliers of items to your catalogue
  • borrower types - the types of borrowers in your library
  • catalogue archive - items that have been archived from the library
  • borrower - those that borrow items from your catalogue
  • circulation - the store of current issues
  • catalogue - the collection of items

When you have finished, Quit Athenaeum and back it up.

Then, remove the old copy of Athenaeum and any shortcuts to it.

Re-enter your config settings

You will need to re-enter any configuration settings as well as your registration details.

Also, you may wish to 'renumber' your catalogue and borrower databases to set the next numbers that will be allocated.
